Role Summary:

WG is seeking an enthusiastic team member to support the team across multiple facets of project management, with a role in enhancing current processes as needed to meet the demands of the business. WG has a non-traditional organizational structure which is a hybrid between a consultancy model and an agency model requiring a Project Manager that has a flexible and pro-active approach to supporting teams.

The Project Manager is responsible for providing day-to-day account management support in coordinating all activities with the agency client, internal team and external vendors for the assigned business/product. The position assumes financial responsibilities, general agency support and marketing fundamentals, and will act as a hybrid role between Account and Project Management.

Responsibilities:

  • Identify new processes where required to optimize productivity and efficiencies
  • Lead and manage daily Hot Sheet reports
  • Manage and maintain weekly Client status reports
  • Manage and maintain meeting notes (Agency and Client)
  • Prepare and manage project timelines
  • Work with team to initiate new jobs within the agency
    • Request open Job Code from Client Finance (CF)
    • Request close Job Code from Client Finance (CF)
    • Open Purchase Orders (PO)
  • Manage review set up (Agency and Client)
  • Lead and manage file/folder system (Agency and Client)
  • Manage submission calendar review
  • Facilitate Art Buying
  • Manage vendor relations
  • Facilitate studio relations
  • Manage workflows
  • Develop project estimates with team
  • Track and manage team hours and out-of-pocket expenses in collaboration with the business manager and project management team

  • Generate and asses weekly financial reports
    • Mitigate risk and follow escalation guidelines (forecasting, investment request, etc.)
  • Participate in internal financial billing meetings
  • Prepare and maintain competitive information files (i.e., promotions, articles, etc.)
  • Maintain core deliverables (i.e., final printed, digital)
  • Handle project work and provide support as requested by the team, including Ad Hoc requests
  • Coordinate $1-3MM in business across different clients

Note: Employee is responsible for other duties as assigned.

Requirements:

  • Organizational skills with the ability to meet demanding deadlines
  • Strong communication skills, both written and verbal
  • Ability to follow through and thoroughly complete assignments
  • Strong attention to detail
  • Analytical and quantitative skills with ability to analyze data and participate in financial management of accounts with direct supervision
  • Work effectively with all departments to manage flow of projects through agency
  • Competent with both print and digital mediums
  • Ability to work within a team environment as well as independently

Qualifications:

  • Education: Bachelor’s degree (advertising, marketing or science major preferred)
  • Experience: 1-2 years related experience
