  • Using Microsoft Outlook, act as the central point of contact for coordinating calendars for assigned executives, as needed
  • Work closely with the Receptionist to arrange meetings (to include booking conference rooms, organizing specific A/V equipment, food orders, etc.) as needed internally and with the client
  • Establish appropriate relationships with the client’s Administrative team and work closely with them to schedule meetings, organize events, etc., as needed
  • Arrange travel for assigned executives, using BCD
  • Establish an efficient and effective process for tracking all client estimates and create job numbers as needed
  • Assist senior team with expense reports and other administrative duties as requested
  • Process all invoices/receipts as appropriate for expenses, late night meals, transportation, etc..; design and maintain a “tracking system” for these expense items
  • Handle any project work as requested by the team
  • Provide assistance to creative team with creative award submissions and paycheck distribution
  • Work closely with New Business executive and provide administrative support as needed


  • Bachelor’s degree or equivalent preferred


  • 2+ years of Administrative experience (including internships) preferred


  • Intermediate experience with Microsoft Outlook, Word, Excel & PowerPoint required, expert preferred
  • Demonstrated communication, time management, negotiation & organizational skills
  • Demonstrated ability to be a team player in a fast paced environment
